Data Deletion

How to ask

Email privacy@vaen.cc with the word deletion in the subject line. Tell us which address, phone number or account the data belongs to, so we can find it. You do not need an account, a form or a reason. Asking is enough.

We confirm within a few days and complete the deletion within 30 days, as the GDPR requires. If we cannot delete something, we tell you what and why.

What we delete

Waitlist

Your email address, signup date, language preference and referral code. You can also do this yourself at any time via the unsubscribe link in every email or at vaen.cc/unsubscribe. Unsubscribing stops the emails; a deletion request removes the record.

Messages you send us

Anything you wrote to us by email or through a form, and our replies.

WhatsApp

If you message a VÆN WhatsApp business number, we receive your phone number, the content of your message and, for a voice note, the recording itself. A deletion request removes all of it, including the audio. Meta also keeps its own copy of the conversation under its own policy; we can delete what is on our side, not what is on theirs.

If you ever signed in to a VÆN application using Facebook, we delete the profile data we received in that exchange. You can also revoke our access yourself from your Facebook settings, under Apps and Websites.

What we keep, and why

Two things survive a deletion request, and both are legal obligations rather than choices. Invoices and the accounting records behind them: Belgian law requires us to keep those for seven years. And a minimal record that you asked for deletion, so we can prove we honoured it. That record holds the request and the date, not the data you asked us to remove.

Backups are the other honest caveat. Our backups are encrypted and rotate out on a fixed schedule, so a deleted record can sit in an older backup for a while after we remove it from the live system. Restoring a backup is a last resort, and if we ever have to, we re-apply the deletion requests we have on record. That is the second reason we keep a note that you asked.

Your other rights

Deletion is one of six. You can also request access, rectification, restriction and portability, and you can object to processing or withdraw consent. All of it goes to the same address, and all of it is covered in our Privacy Policy.
